Creating and managing user identities and groups

1. Understanding User Identities

One of the things I want to talk to you guys about now is the concept of creating and managing user identities. Now, on premise, we have our user accounts, our domain user accounts, and they access resources and all that good stuff. But of course, in the cloud, we have a different directory, a service. We have what is called Azure AD, or Azure Active Directory, okay, which is their directory services that manage users' passwords, groups, and all that stuff. in the cloud environment. Of course, Microsoft likes to use that term "identities." You're going to hear that a lot more in regards to dealing with the cloud because, when you think in terms of identities, you need to understand that a person has an identity and then they have different accounts that may exist in different places. And what we're going for here is what we call SSO, or single sign on.And the concept of single sign-on is what we want to be able to do: we want a user to be able to use their identity and have access to multiple accounts. So ideally, what we want is something known Seamless SSO" where somebody could log on to their on-premises network and get access to all their cloud services. And you can definitely make that happen. Microsoft has something known as Azure AD Connect that connects it all together and allows us to synchronize. But we'll talk more about that a little bit later. Okay? So it's important, of course, for users to be able to access all of their resources and their accounts. Their identity is what's going to let them do that. So we're going to be taking a look here in a minute and actually creating user accounts. All right? But before we do, I want to mention a couple of things. There are multiple ways that you can manage identities, multiple ways to create them, and multiple ways to manage them. One way is to go to Portal Azure.com.This is going to be the Azure side of things, the Azure Portal Base, which is sort of the IaaS infrastructure as a service. There's also the Microsoft 365Admin Center, which can be found at admin.microsoft.com. Or you can go to portal.microsoft.com. Either one will take you to the same place, and that's more on the PaaS (platform as a service) and SaaS (software as a service) sides as well. Now keep in mind how they all tie together. All of this is managed through something called Azure AD. So it's all going to be managed centrally by that one main directory service, okay? Now if you've got an on-premises Active Directory, again, you can connect and sync all that together, okay? Once they're synced together, what's really cool is that I can create an account on premises, and it can be synced out to the cloud, all right? And we can have people change their passwords and other settings on-premises, and it will sync to the cloud, or they can change their passwords in the cloud, and it will sync back on-premises. I'm going to explain that a lot more a little bit later. Okay? The last way that we can create our identities and manage identities is with PowerShell, which I'm also going to be showing you how to work with, get a good understanding of, and learn the ways of managing things that way. Also, of course, a lot of times people ask me, "Why do I care when I can do everything graphically?" Why do I want to use PowerShell? Because you can do things a lot faster in PowerShell, especially if you need to do something to a large number of identities at one time. Imagine you had 10,000 identities and 10,000 accounts, and you needed to change an attribute on each of them. Okay? There isn't much you can do graphically to change portal attributes, but you can with PowerShell. One little line of code, actually, and you can change all 10,000 of those accounts. PowerShell really does live up to its name, and we're going to learn a lot more about PowerShell coming up as well. Okay, so one of the last things I want to say here is that you have what are called licences enrolled. So as we create our identities, we can assign licences to our users and our identities, and this is going to enable different features. So, for example, if I assign an Office 365 licence, then the user is going to get access to the Office 365 services, software, and applications. Right? I've also got other licenses, such as a Windows Ten license, which allows somebody to activate Windows 10 using their credentials. All right, I've got a bunch of security-type licences as well. So we're going to look at one called EMS, the Enterprise Mobility Plus Security, which is a very powerful licence because it gives you access to a lot of products. Okay? So you can assign licences when you create an account, or you can always assign them later. Another thing we're going to spend some time on later is roles. Roles are how we assign privileges to our objects and accounts, allowing them to perform actions. Definitely our administrators; that's going to be very important. So our It people are definitely going to want to be able to give out roles to them so that they can do their jobs as It people. All right, so hopefully that gives you guys just a quick overview of the concept of user identities. And what we're going to do now is take a look at actually creating some identities.

2. Creating and licensing User Identities

Okay, now that we've established what user identities are, I'd like to take a look at the actual console and create some identities, as well as walk you through the process of viewing the licences and other features available on Portal Azure.com. If you want to do this with me, just open up Portal.Azure.com and your subscription, and you can. From there, we can click this menu bar here, this little menu button, and we're going to go to this Azure Active Directory blade. This is called a blade. These are called blades. makes me think of server blades, but that's what Microsoft calls them. So we're going to click the Azure Active Directory blade, and you will see you have users right here. So we're going to click on the user's blade. All right, we've got our users showing up here. And I'm going to go ahead now and click to create a new user. Okay, so new user, and we can create a user. We also have the ability to invite a user as a guest. This is kind of cool because if we start working with Teams, for example, which is Microsoft's collaboration tool that is sort of replacing Skype, we can actually invite users as guests and allow them to collaborate with us in products like Teams. But I'm not going to talk too much about that right now. I'm going to go here. I'm going to create a user. I'm going to create a user with the username Greg Johnson. Okay. And we're going to say the user's name is Greg Johnson. Greg, for example, and Johnson, for example. Okay. And then it's going to auto-generate a password. Or you could choose the password yourself if you want to see what the password is. There you go. Okay. From there, if I want to assign this person to a group, I can do this. I'm going to talk about groups coming up, and then here's where I can assign roles. I'm also going to have Alesson on the roster a little later. so I'll explain that more to you guys. We'll get more into that a little bit later. If I wanted to block the sign-in and not let the user log on right now, maybe the employee is going to be starting next week or in two weeks. I could go ahead and just block them right now and not let them log in just yet. You can also block existing employees as well. Okay. Now, one thing that's very important that I wanted to point out is that I'm going to show you how to give a license. And it's important that you specify the usage location when you create a user. If you do not specify a usage location, you cannot issue a license. Okay, so I want to show you how to do that. I'm going to withhold the usage location so you can see the error. I'm talking about job titles. We're going to say that Greg Johnson is a sales manager. He is in the sales department. We're going to click Create. Okay? We've now created Greg Johnson here. We're going to click on Greg Johnson, and we're going to try to give Greg a license. So he just clicked on the Greg Johnson account. We're going to go over here to Licenses, and you can see that he has no licences at the moment. I'm going to click to do an assignment from there. I have four different types of licenses. These are products that I have that are available to assign to my user, okay? I have Enterprise Mobility Plus Security. I'll expand on that. Office e-five, F-three, and Windows ten I'm going to try to give him this Office E-Five subscription, which is going to give him all these products here. I'm going to click Save, and I want you to see what happened. I've got an error, right? I was not able to do that because he doesn't have a usage location. If you click the error, it'll even give you some information as to what's going on. All right, so I'm going to go back over here now. We're going to go to Greg Johnson. We're going to fix this problem, and then we're going to try to give him a subscription, okay? A license. So we'll go here to Users, and we'll click Greg Johnson. We're going to go to licenses. Now, Assignments. I'm going to go ahead and assign him these three licences right here. EMS Office, 365 Windows 10 Enterprise I'm going to go over the licence with you guys a little bit more later. I'm going to explain a lot more about all these things, so don't worry. I know I'm kind of going through doing this quickly, but I'm going to explain all this to you later, okay? So hit "save. All right? And again. I did it again. Let's go back. Okay, so you've got another shot at seeing that happen again. Let me go back here and we'll fix it, okay? So to fix it, we're going to go under Settings. We've arrived at their profile. We're going to go under Settings. And then at that point, we're going to specify our usage location. So we'll scroll down, and we'll do the United States here. And there it is: the United States. Notice I can fill in other information for the user as well if I wanted, but I'm going to hit Save. And here we go. We're going to go ahead and assign this user his three licences three times as a charm, which actually gives you licences to all of these things. And we're going to hit Save, and you'll notice it goes through this time. So this is one way you can create users using Azure. And then we're going to take a look at the Microsoft 365 side of things. So what I'm going to do now is go to Portal, Microsoft.com.You could go to Admin.Microsoft.com and do the same thing. Okay. It's going to take you to the Microsoft 365 AdminCenter, which is another way of working with users. Remember, it all ties to the same place. Everything goes to Azure Ad. Okay? So I'm going to drop down users here and then I'm going to go to active users, and you're going to notice that I have the same three users that we just saw. So this is another place that you can create users, and I think this is a little more user-friendly for people. Okay? So I'm going to click "Add a User" and I'm now going to create a new user, and we're going to call this user John Smith. Okay? And user log on name is John Smith. Okay. Give a password. We could require the user to change their password when they sign in if we wanted. Okay? And then what we're going to do is we're going to click "Next." And if I wanted to here, I could point out one thing I want to point out.Notice that the usage location is forced here. I have to give a location for usage location.So this is one thing I like about doing it through here: I can't screw that up like I did on Azure, okay? The Azure. Portal. So I can go here and select the same three products I want to give here. Notice that I could if I wanted to. I could say just don't licence the user, but I do have to give a location. Okay? So now I'm going to click Next. I could do roles and all that here, specifying some more profile information if I wanted notice it'll.Let me put more in here. Okay, we're going to say that John Smith is an IT person. Okay? So we'll click Next on that. We're going to now click "Finish adding." And we've now officially created two users. The two different graphical ways that you can do it So as you can see, it's not too difficult. Pretty easy. There's definitely something in it that you can easily try out yourself if you want to give it a shot. But all in all, it's pretty straightforward to create user identities in the Azure Portal as well as the Microsoft 365 Portal.

3. Understanding Groups

familiar with groups on premise. This is not a new concept. We've had groups. We create a group object on our on-prem network. We assign users to the group, and then we can assign the group permissions to resources, right? And that's sort of the way it's always been in the Microsoft world. in the cloud. We have a variety of different kinds of groups to choose from. For one, we have a group called an Office 365 group. This is a group that is used for things like team collaboration and the like. This group will get an email address. So, if I created a group called Sales atxamlabpractice.com and added Salespeople to it, you could send an email to that group, and it would be delivered to all of those salespeople. Another thing this will do, though, is allow you to have a team collaboration setup for that group where they can chat and communicate, they can do web conferencing, and all that good stuff. So this is one of the main things this group is going to provide you with, and it's definitely one of the recommended groups Microsoft will tell you to use in their environment. Now we've also got what's called the distribution group. Now this is a good old-fashioned email-based group. This is used with Exchange Online. So what will happen is, if you create that type of group, it will get an email address. So again, if I created something like Sales@examlabpractice.com, you can email the group; it's going to go to everybody in the group. Now the difference is that distribution groups can't do team collaboration and all that. It does not create any team collaboration or teams. And also, you can't give it any kind of permission or anything like that. Okay? Now, if you want the best of both worlds and want to be able to do security and email, you could create a mail-enabled security group. The only downside with that is that you don't get to do the team collaboration and all of that, okay? It doesn't automatically form teams for you. Office 365 will do that. But with a mail-enabled security group, the good thing about it is the group will get an email address, sales@examlabpractice.com, and it can have permissions to resources as well. Okay? What if you want a group that can only be given permissions to things? It's only used for security and permissions. Well, that's what a security group is. Security groups are used when you just want to create a good old-fashioned group, add different objects to it, and give those objects permissions to a particular resource. Okay? All right, so that is the idea of the four different group types that you can see there. Now one thing I do want to mention when you get into creating groups, and I'm going to show this to you coming up in this next little segment, is that you can choose to make the group an assigned group, or you can choose to make it a dynamic group. Okay? An assigned group is static. This is something you're probably familiar with; you've heard of it. You've probably dealt with assigned groups if you've been in them for very long. Of course, they didn't really call the assigned groups back in the day. An assigned group is just a group that you add users to, add objects to, remove objects from, and then give permissions to or whatever else you want to do with it. The funny thing, though, about an unassigned group is that it's very static. You have to manually do everything. You have to manually add objects to it and manually take them away. You run into an issue you might run into, so imagine you've got somebody in the sales department. You create a group called Sales. You put your salespeople in it, who are in the sales department. And then imagine you have a user who moves to the marketing department. So then they get put in the marketing group. Well, somebody has to remember to remove them out of the sales group if they're not supposed to have access to sales resources anymore. Okay? and so it's very static. You have to manually add everyone. You have to manually remove everyone. So one of the great things about our Azure ad is that we can do dynamic groups. Dynamic groups are query based.Now what this means is that I can make it so that based on an attribute in your user identity, you get put in a certain group. So, for example, if you were a member of the sales department, if your department attribute for your identity says you're in the sales department, you automatically get added to the sales group. Another cool feature is that if this person moves to the marketing department, we changed the attribute for their department from sales to marketing. Then they would get taken out of the sales group automatically, and they could automatically get put into a marketing group if that was a dynamic group as well. Okay? So that's a really neat group. And I'm also going to be in this next segment showing you how all that works as well. Okay? So that gives you a little bit of foundation, and in this next little segment, we're actually going to go and see about creating and managing this.

4. Creating Groups

Okay, so now let's take a look at actually going through the process of creating groups. Okay, so here we are. We are on Portal Azure.com.Okay, we'll start there. We're going to click the menu bar button here, menu button.We're going to click the Azure App Active Directory blade. We're now going to go to the Groups page. So this is where we can create groups. It's pretty straightforward, okay, so groups can be created both here and on the Microsoft 365 side of things. Let's go to the Microsoft 365 Portal as well and see where you would go to do that. So if I go to Portal.Microsoft.com, bring this up, click on Groups, and then drop down here, everything should be fine. and then click groups. This is where you can create groups on the Microsoft 365 side of things. Okay, so two different places right out of the gates, two graphical ways to do it. They're all going to end up in the same place. But I do want to show you something that's a little different. You're going to notice that if I create a group here under the Microsoft 365 Admin Center, I have four options. These are the same four options that we talked about in the previous lecture. So the Office 365 team collaboration, all those distribution groups that you can just send email to, an email-enabled security group that you can send email to as well as give out rights And then finally, a security group. Okay. Now I can go through this list here. I can create myself a group if I want. I'll call this marketing. Okay, we'll click Next, and away we go. All right, I'm going to click Create Group. As you can see, it's very simple to create. This is going to take a moment to show up. Whenever you create groups, sometimes it takes them a moment to show up. So you're not going to see this show up immediately here. It's going to take a few minutes. Okay, so while we wait on that to show up, let's go over to the Active Directory side. So we're back on Azure Active Directory again. On the portal Azure.com, Here we're going to click on "New Group." Now this is what I want to show you. This is a little different. When you drop down the group type, you only have two types of groups. You can choose an Office 365 group or you can choose a security group. Okay, so I'm going to do a security group, and I'm going to call this group Sales. Okay. and group description. All right. and then from there I could specify a group description. From there, I could make the group assignment. Now this is where I can choose to make this an assigned group, where I have to manually add users to this group. Or I can do a dynamic group and a dynamic user group, which will dynamically add users to this group based on a query, or a dynamic device group, where you can have devices that get added dynamically as well. This is really neat when you get into all that InTune endpoint protection stuff. What's really great about it is I can actually create groups so that when somebody has, let's say, an iPhone and it gets linked into our cloud, I can have it go into an iPhone group or an Android tablet can go into an Android tablet group. A Microsoft Surface Pro or Microsoft Windows 10 can go into a group for that. This is all stuff you can do using these dynamic groups. Okay, so what I'm going to do is click to create a dynamic user group. Okay? And one thing I want to point out is one thing that's really neat about this too: you can do what's known as "ownership." I can assign an owner to a group, and this will allow that owner to control this group. That means this owner can make changes to this just as if it were an assigned group. The owner can add members. So imagine if you had an assigned group and a sales manager, and you wanted to give the authority to that sales manager to add people to this group. You could also add an owner. Okay, I'm not going to do that. I'm actually using a dynamic user. I just wanted to explain what that was. Okay, so down here I've got dynamic user members. Click "dynamic query" or "add a dynamic query." What decides who's in what group? They're called expressions. And every time you make a change to a user account, a query gets run against the groups to see if there's a match. It doesn't matter what you change. If you change their phone number, it's going to do this. You can change their department or any other aspect of their profile. A query will be run against Azure to see if any of your groups have a match. And if there is, the user gets to be part of that group. Okay, so I'm going to add an expression here. I'm going to click property, let's go with department, and then we'll choose operator. This is where you get into things like "equals" and "not equal to" and all that. I'm going to say equals. And we'll put the word "sales" in with a capital S. Okay? We're going to add that expression. Okay. And then maybe why don't we do another one and do sales again, equal to, let's say, just lower-case sales? Okay? So we got them both. It's really nice that we got this little form, just as much as, I think, maybe a year and a half ago, you used to have to learn the syntax here and you'd have to type all this yourself. You can still edit this if you want and learn the syntax. and there are some benefits to that. You can do some pretty advanced logic there if you learn what their syntax is for the rules. But all in all, it's really easy. Creating these little dynamic membership rules is pretty easy now compared to where they used to be. So once I've done that, I'm going to click Save, and at that point, I'm going to click to create. And now anybody who has their account tied to this is eventually going to get put into that group. So I got the sales group and then the marketing group. I'll have the marketing group as well. As you can see, it's shown up. Now, sometimes it takes a moment to show up, but notice that the membership type for that group is assigned. Okay? So, you may have noticed that the Microsoft 365 Portal did not allow me to do dynamic, but I was able to do dynamic through the Azure Portal. So those are the two main graphical ways that you can actually create groups in both Azure as well as the Microsoft 365 Portal. To be sure, it all ends up in the Azure Ad. Azure AD is your directory service, and that's where all your objects are going to end up. Your user identities, your group identities, all that good stuff.

5. Creating Microsoft 365 users and groups with Powershell

All right, so here I am in PowerShell. All right, I'm just going to clear my screen and clean it up here for you. And so what I want to look at here with you is first-order business: we've got to get the commands that are going to allow us to actually connect to our Microsoft 365 services. Okay? So there is a command we're going to run. This is the command that's going to let us install the PowerShell commandlets that are needed in order to connect. Okay? So the command is actually going to be called Install Module. All right? Ms Online. So we're going to hit Enter on that. It'll ask for our permission in a second to connect in and install these commands. All right? So first-order business Now, I did want to warn you that if this is the first time you've ever done this, it may ask you to install something called NuGet. You're just going to hit yes on that. NuGet is the software that's going to download these commands. Okay? And then the next thing it may ask you to do is to create a little path for it to store the commands, and you'll have to hit yes to that as well. As you can see, I've done that on this computer before, so it's not asking me. And then finally, the third thing that it'll ask you is what I've got on my screen right now. It's telling you that it's downloading the commands from an untrusted repository. kind of funny because it is coming from the Microsoft repository. But granted, they are allowing the community to submit scripts, so we have to trust that they've moderated this. So I'm going to go ahead and hit yes, though. And it's going to start downloading the MS Online commands. Keep in mind that if you already have them, it will display a message. It's going to let you know you've got them. As you can see, it's downloading them for me. All right? So that only takes a moment. And then once that gets installed, we're going to be able to run the PowerShell commands for Microsoft 365. Keep in mind there are actually some more commands if you want to communicate just with Azure's infrastructure as a service side of things. You can also obtain some online exchange commands. And this is going to let us access most of the Microsoft 365 services. Okay? So as you can see, it's done. All right? So the next thing I'm going to do is try to show you what my user accounts are that I've got in Microsoft 365 Azure AD. The command for that is get MSOL, user. All right? Now I want to show you. I'm going to hit Enter. It's going to throw an error. All right. And there's the error. Okay, so the error is letting me know that I haven't actually connected to my cloud services yet. Think about it logically. How in the world is it supposed to know what my cloud services are? All right, so I've got to actually connect. I'll be using Connect MSOL User. All right, I'm sorry, not User. Connect MSOL Service. Sorry. Connect MSOL Service. There we go. Hit enter. It's going to pop a little box up on the screen here, and once it does that, I can enter in my credentials. All right? So I'm going to do that, all right. Put my password in and hit "in." and at that point it should authenticate. And as I like to say, new news is good news. If you don't get an error, then something probably worked like it was supposed to. All right, so now let's try typing "get MSOLuser" and see if we can see our users. And sure enough, there they are. I can actually see my users right there. All the users that I've got right now have been added to Microsoft 365. Okay? So the next thing I'm going to do is to look at how to create a user. All right? So I'm going to create a new MSOL. All right. Now I want to remind you guys when you're working with PowerShell; I cannot stress this enough. Open up a web browser and look up the Knowledge Base article. The Knowledge Base article is your friend. It's going to help you figure out exactly how to run this command. So watch this. If I go into a web browser right now, alright, and I'll just pull up a search engine, and I'm going to type in "new MSOL User," The first article that appears in my search engine is about this command, and I can go through here and read it, and it will show a good example of how to use this command. So if I zoom in on that for you, you can see exactly how to use this command. I love their knowledge base because they give lots of examples. They tell you exactly what all the switches are. so very helpful. All right, so once I learn how to use that command, I'm ready to create a user. If you looked at their example, it would be New MSOL User Space. And then I'm going to type the user principal name by just hitting tab because it's going to auto-complete for me. And I'm going to put in the user principle name for a new user. Okay? So I'm going to create a username, Chris Jones at examlabpractice.com, in quotation marks, okay? So then at that point, I'm going to specify the display name. So I'm going to say Dash display name, and the display name is going to be Chris Jones. And then I'll do my first name, which is Chris. And then I'll do the last name, which will be Jones. Keep in mind, you can specify other parameters. In fact, if you look at the Knowledge Base article, you have all these parameters that you could select or specify. Granted, if you don't specify these, Canalways will go back and change it, which I'm going to demonstrate in just a second. Okay. So we're going to go ahead and hit error, and we're going to see if that account is created. And as you can see, Chris Jones has now been added. It's even got a little password for Chris Jones. Okay. And then I'm going to type "get MSOuser" and we'll see if it appears. Sure enough, Chris Jones is right there. All right. And I could even look at my portal at Azure.com; I can actually go and look, and I should be able to see that user appear there as well. Okay, so we'll zoom in on that for you. I'm going to go right here to the menu button. We'll go to Azure Active Directory, and we'll click Users. Let's see if the user appears. And sure enough, there's Chris Jones. So as you can see, the PowerShell command did work. Now what if I decide I need to change something? I will go here. I'm going to use the Set MSOL User command for that. All right. So if you want to look up the parameters for that again, all you have to do is go to a search engine, type in Set MSOL user, pull that up, and you can look at the parameters for the same thing. I can see examples of exactly how to do that. What I'm going to do right now is to assign Chris Jones to the sales department. I'd like to make his sales department both his sales department and a department attribute. Okay? So to do that, I'm going to go, and I'm going to type "Set MSOL user. All right. And then at that point, I'm going to say the user principal name is going to be Chris Jones at chrisjones@examlabpractice.com. All right. And then at that point we could say, "Let's do a department," and we'll say the department is sales. All right, I forgot a parameter there. Let's do this again. Let's just up-arrow that. So I actually need to add one more parameter there. Okay, so what we'll do is we're going to do this again. We're going to say "Set MSOLuser as the user principal name." Let's try this again. So the next thing I want to show you is how to create a group. Okay? So it's the same situation. You can go to the Knowledge Base and look up the command for creating a group. I'm not going to do that on this one, but obviously you can do that. You can also say, "Get the MSOL group" if you want. and you can see all the groups that we've got in our environment. And then we'll say "New MSOL Group" and create a display name for this group, which we'll call the Finance Group. All right, just like that. and then we could give it a description if we want. We'll say the Finance Department group. We'll give that as our description, and then we're going to hit Enter, which successfully created the group. So now we have a finance group. All right, as you can see, the finance group is right there. We can come over. Sometimes the groups take a moment to show up. We'll see if it shows up right this time. All right, so let me go to Contoso here. We're going to go to groups, and there it is. It did show up. Okay, so guys, hopefully that gives you a decent understanding now of how you can use PowerShell to manage your users and groups. And keep in mind, it really isn't that much more complex to touch just about anything in the Azure and Microsoft 365 environments. The key here is to look up the commands and read the Knowledge Base articles and look at their examples. They really do have some fantastic examples that can assist you in dealing with PowerShell. So I encourage you to do that. Play around with that a little bit, connect, and get a little hands-on with PowerShell. Very powerful tool for managing things, especially if you need to manage a large number of objects at once. Like if I needed to add 500 users to a particular group, I can do that very quickly with PowerShell—one little line of text really can make that happen. All right, so hopefully that gives you a good understanding. Like I said, give it a shot.

I took the exam on July in Spain and studied using the premium dump. I was getting 99%-100% during my studying. It is important to mention that some of the questions were new. Most of the questions had different orders and some had different wordings, so you need to be careful and learn the answers, not the orders. Focus on the ones that has drag and drop, since you can't randomize the order of the answers on the VCE programs. Learn the answers by memory. I passed the exam with 803 score using this method. And my work colleague passed with 701. So prepare and study.

Fortunately, I passed the MD-100 exam yesterday with the premium dump. I got 743 points. It was unexpected to see about 80% of the questions from the dump in the exam. There were about 5-7 new or reword questions, but it was possible to answer them if you understand the content.
